How a CareBridge referral reaches you

01
📋

Family completes assessment

Every family fills out a structured care assessment covering care type, budget range, timeline, mobility needs, and preferred location. No vague "call us" leads — we capture what matters before we talk to them.

02
🤝

Advisor consults and matches

A local CareBridge advisor calls the family, confirms their situation, and builds a shortlist of 2–4 communities. Matching criteria: care type fit, geographic location, budget alignment, availability, and licensing type (AL/MC/RCH).

03
🏠

Family tours and decides

We introduce the family directly to shortlisted communities. They tour. They choose. Referral fee invoiced only after move-in — not for tours.

Every referral arrives pre-screened.

Assessment-qualified

Every family has completed a structured care needs assessment before we introduce them. No vague inquiries. No cold tire-kickers. They know what they need.

📍

Geographically filtered

We only introduce families to communities in their preferred area. If a family wants Katy, they don't get options in Humble. Your community receives introductions from families who actually want to be in your market.

💰

Budget pre-screened

We ask about budget before we make introductions. If a family can't sustain your price point, we don't send them to you. Your team doesn't waste tours on families who can't afford your community.

📅

Timeline known, SB 1383 disclosed

We know whether the family is moving in 30 days or 6 months. We also disclose our referral relationship to every family before introduction, as required by Texas SB 1383 — so everyone's in agreement about how this works.

Plain-English referral fees.

No surprises. This is how senior placement referral fees work in the industry — and how we apply them.

What you pay
Standard referral fee structure
  • Standard industry rate: typically 50–100% of one month's base rent for the placed resident.
  • Invoiced after move-in and 90-day retention period. We don't invoice on placement day.
  • Exact rate agreed upon before the first introduction. No surprises on the invoice.
What you do not pay
Clear exclusions
  • No fee for tours that don't convert. You only pay when a family moves in and stays.
  • No fee if the family doesn't place with you, for any reason.
  • No exclusive contracts, retainers, or listing fees. You work with other placement services too — that's fine.
  • No fee for the first 90 days if a resident leaves or passes before the retention window closes.

We only earn when the placement works. That keeps our incentive and yours aligned.

What we expect from our partners.

We only refer families to communities we'd recommend to our own. These aren't unreasonable asks — they're how good communities already operate.

1
Timely tour scheduling
Respond to family tour requests within one business day. Families who are ready to move are making a decision in 2–3 weeks. Slow scheduling costs you the placement.
2
Honest, complete pricing
Give families the full monthly cost — base rent plus care tier, medication management, community fee, and any add-ons. Families we refer have been briefed on the real cost of senior care. A low-ball quote followed by a surprise on the contract damages everyone's credibility.
3
Current availability data
Let us know when your availability changes. We don't want to send families to tour a community that has no openings in their care tier. A quick email when a unit opens or closes is all it takes.
4
Post-placement check-ins
We occasionally follow up with placed families to make sure the transition went well. If something isn't right, we want to know — and we expect partners to address it. Our reputation depends on recommendations that hold up after move-in.

Local vs. national placement networks.

National placement services send volume. CareBridge sends fit. Here's the difference in practice.

CareBridge (Local) National Networks
Market knowledge Knows Houston submarkets — Katy's RCH landscape differs from The Woodlands AL market. We know which communities have quality care vs. glossy lobbies. National database. Field reps often haven't visited your community in person.
Family preparation Families arrive educated on care types, costs, and what to ask on tour. Less time re-explaining basics on your tour. Often just a handoff. Families may not understand what AL vs. memory care vs. RCH means.
Operator relationship You know who's calling. Not a call center. Responsive, consistent point of contact. High staff turnover. Different rep on every inquiry.
Exclusive contracts None required. Partner with us alongside anyone else you work with. Some require exclusivity or preferred partner fees.
Referral transparency SB 1383 disclosure to every family before introduction. Everyone knows the model. Disclosure varies by operator and state requirements.
